Middle School Coordinator

Position Overview:

French American International School is seeking a Middle School Coordinator. 

Reports to: Middle School Principal
Start Date: July 1, 2018
Status: Full-time Exempt

Key Responsibilities:

The Middle School Coordinator assists the Principal in organizing and fostering a positive, safe environment that is conducive to best meeting the needs of all students, staff and parents. The Middle School Coordinator will coordinate all aspects of the Middle School, including:

  • Communication: Compose, edit, proof,  and plan for  the distribution of middle school communications via letter, e-mail, web-site, to students, parents, faculty, and administration. Translate the principal’s documents from French into English. Organize and update MS Principal’s appointments, agenda and calendar. Maintain confidentiality with student, teacher or family matters as required, good technical skills and knowledge of Google Apps, Word, Excel, Powerpoint, required.
  • Advisory: Collaborate with the MS Principal to implement a successful Advisory program promoting the social and emotional well-being of every Middle School student. Plan Advisory sessions; update and develop curriculum; support and communicate with Advisors; organize Advisory meetings and Student-Led Conferences.
  • Exploration Classes: Solicit class proposals from teachers. Manage the scheduling, sign up, registration and successful implementation of the exploration class program, communication in a timely manner to MS community. Liaise with the MS Dean of Students to coordinate on room assignments and Study Time.
  • Admissions: Assist 8th grade families and the school registrar with applications to other high schools; assist teachers and Principal with letters of recommendation. Liaise with Director of HS Admission to plan and schedule retention events and 8th grade visits to the HS. Liaise with LS Admission Office and families of visiting and/or prospective students to schedule visits, inform involved teachers and welcome the families/students and show them around.
  • Field Trips, Events, Meetings:  Ensure  that  events,  field  trips  and  meetings involving  students, counselors, teachers and/or parents are planned, scheduled, supervised and publicized appropriately. Liaise with LS, HS and CAIS to ensure that there are no conflicts with meeting times or locations. Liaise with NCIS for set up needs. Help Principal decide on agenda items for meetings. Coordinate with caterers and/or order and set up refreshments when necessary. Back to School Night, Parent-Teacher Conferences, Move up Day, Career Week, En Route to Middle School, end of year events. Assist Director of Student Activities with graduation.
  • Report Cards: Provide instructions and oversight for the report-writing process to all MS teachers. Review report cards and follow up with teachers to ensure cards are filled out completely and accurately. Ensure registrar receives copies of report cards.
  • Exams: Produce schedules for standardized exams. Order ERB exams and results, make balanced exam schedules, prepare exam instructions with lists of students who need extra time, guidelines for proctors to follow, check to make sure all teachers have prepared exams, follow up as necessary.
  • Schedules: Maintain, update, publish and distribute class lists, teacher, student and room schedules. Help HS Assistant Principal with scheduling and maintain accurate schedules for teachers and classes year-round.
  • Faculty: Help faculty when they need it with supplies, PO’s, reimbursements, field trip forms and reservations, letters of recommendation from the Principal. Coordinate with Dean of Students as needed.
  • Parents: Tend to parents in person and on the phone. Follow-up with Principal and/or teachers and/or counselors on questions and concerns parents have about their children.
  • Parent Board: Collaborate with the Parent Association officers to plan and implement events and programs for MS families throughout the year.
  • Students & Student Council: Be available to students when they need help or guidance from an adult in the office. Work with Principal on student council meetings/agendas, events, etc. Liaise with Counselor, Learning Specialists, and teachers to support student learning and experience in the Middle School.
  • Purchasing: Assist Principal in tracking purchase orders and Middle School expenditures and liaise with Administrative Services. Place orders for classroom and administrative material.
  • Shared Spaces: Reserve and manage shared spaces calendars for faculty and staff.
  • Additional Summer Duties: Provide assistance to the Upper School administration with scheduling, make database updates, prepare classrooms for start of the school year
  • Other duties as assigned

High School Coordinator

Position Overview:

French American International School and International High School is seeking a High School Coordinator. 

Report to: High School Principal
Status: Full-time Exempt 

Key Responsibilities: 

The High School Coordinator assists and supports the High School Principal. S/he contributes to organizing and fostering a positive, safe environment that is conducive to best meeting the needs of all students, faculty, staff and parents. The High School Coordinator coordinates all aspects of the High School operations, while liaising with the other sections and the administration, as well as the larger community. S/he provides a friendly and welcoming atmosphere in the High School Office, and is the first point of contact and central resource for all constituents: families, students, faculty/ staff and the Administration. S/he establishes and maintains effective relationships within the school, with CAIS and with NCIS. 

Qualifications:

  • Excellent written and verbal skills in the English language is required
  • Proficiency in the French language a plus
  • Experience in a school environment preferred
  • Bachelor’s degree preferred
  • Strong organizational skills
  • Good technical skills and knowledge of Word, Excel, Powerpoint required
  • Ability to learn new technologies and willingness to troubleshoot systems before escalating to the Tech Department
  • Must have high energy and easily adaptable to change
  • Must possess a positive attitude and good sense of humor

Job Duties:

  • Communication: Compose, edit, proof, and plan for the distribution of high school communications via letter, email, website to students, parents, faculty, and administration, including the preparation of the weekly notes for students and families. Maintain confidentiality with student, faculty/staff or family matters as required.
  • Events / Meetings: Ensure that events and meetings involving students, faculty and/or parents are planned, scheduled, supervised and publicized appropriately. Liaise with LS, MS and CAIS to ensure that there are no conflicts with meeting times or locations. Liaise with NCIS for set up needs. Coordinate with caterers and/or order and set up refreshments when necessary. Back to School Night, Parent-Teacher Conferences, Conseils de Classe, Faculty Meetings, Lunch Meetings, Principal’s Coffees, etc.
  • Report Cards: Liaise with IT and Academic Technology Departments to ensure that templates are updated and that the online gradebook is ready for submission. Communicate deadlines for grade submission to teachers, as well as grade entry guidelines. Review report cards and follow up with teachers to ensure grading is filled out completely before sending them out to families. Ensure Registrar receives copies of report cards. Update students’ academic files.
  • Attendance: Works under the Dean of Students supervision to manage student daily attendance.
  • Exams: Prepare exam cover sheets/envelopes, communicate exam preparation guidelines for teachers to follow, check to make sure all teachers have prepared exams, follow up as necessary. Collect and organize exam packets prior to exams. Liaise with NCIS to ensure setup of exam rooms.
  • Support:

○  Principal: Maintain strict confidentiality in assisting HS Principal in any matter required. Organize and update HS Principal’s appointments. Attend Team meetings to assist Principal in assessing where assistance and coordination is needed, week to week.

○  Faculty: Order and provide supplies for faculty. Provide forms and assist with reservations/setups, provide general support as needed.

○  Parents: Assist parents in person and on the phone. Direct parents to the appropriate person for questions and concerns.

○  Parent Board: Make room reservations, help with practicalities on school grounds.

○  Students: Be available to students for questions and general support.

  • Purchasing: Assist Principal in tracking purchase orders and High School expenditures and liaise with Administrative Services in these matters. Place orders for classroom and administrative materials.
  • Shared Spaces: Reserve and manage shared spaces calendars for faculty and staff.
  • Report maintenance and security needs.
  • Additional Summer Duties: Close out the year in the database (all report cards, d-letters, honor rolls printed, filed, and copied to the Registrar’s Office). Organize, update or archive student academic files. PO/billing reconciliation before close of financial year. Reconcile missing textbook lists with Department Heads and submit billing. provide assistance to the Upper School Administration with scheduling and enrollment, Retreat preparation, pre-Rentrée and Rentrée preparation. other duties as needed. Database updates for new year, including class lists/rosters. Communicate with IT to ensure group email lists are updated at the beginning of the year. Hallway and Classroom cleanup and preparation. Locker assignment.

These positions include: lunch / nap / recess monitor, front door duty, and after school program monitors.

PAGE ST. CAMPUS POSITION - Early Childhood Education Center

Position Overview:

Supervise and engage in activities with children ages 3 to 5 years.

Key responsibilities:

  • Prepare snacks
  • Plan activities (sports, arts and crafts) with co-workers
  • Active supervision of children (indoor and outdoor)
  • Communicate with parents and staff
  • Resolve any conflicts by implementing social-emotional learning practices
  • Assist children with minor injuries
  • Implement school policies and regulations

Job Description:

All head coaches and assistant coaches report directly to the Athletic Director and have the primary responsibility for administering all levels of their sport. The successful candidate will be required to follow the procedures of the High School’s athletic program, as well as those of the International and California Interscholastic Federation.

Coaches Expectations: 

Communication: Coaches will provide clear communication for student-athletes and families regarding expectations and philosophy. 

Player Development: Coaches will assist in the total development of all student-athletes by using positive methods to create an ideal learning environment, therefore helping them through their life journey, not just their athletic journey. Coaches will create and implement a meaningful practice structure to enhance instruction, development, and effective use of time for all members of the team within the program.

Player Evaluation: Coaches will use a holistic approach when evaluating a student-athlete using qualities such as skill, character, integrity, leadership, coach ability, and a love for the sport.  

Team Leadership: Coaches will foster an environment that will develop positive leadership qualities both on and off the field of play.
